Terms of Use &
Service Agreement
This document constitutes a legally binding agreement between you and White Glove Group. By registering, accessing our platform, or using any of our services, you confirm that you have read, understood, and agree to these Terms in their entirety. If you do not agree, you must not use our services.
This document has been prepared by White Glove Group for general use. It is not a substitute for specific legal advice. We recommend you seek independent legal counsel if you have questions about your rights or obligations under this agreement. White Glove Group is not a law firm and does not provide legal advice.
About this agreement
These Terms of Use and Service Agreement (the "Agreement") govern your access to and use of the services provided by White Glove Group ("WGG", "we", "us", or "our"), a concierge and life management services company operating in southern Greece.
This Agreement applies to all individuals and entities who:
- Register as a customer or member of White Glove Group;
- Access or use the WGG online platform or portal;
- Purchase, subscribe to, or use any WGG service, plan, or package;
- Register as a service provider on the WGG platform;
- Visit the WGG website at whiteglovegroup.gr.
These Terms are governed by the laws of the Hellenic Republic (Greece) and applicable European Union regulations, including but not limited to EU Consumer Rights Directive 2011/83/EU as transposed into Greek law, the General Data Protection Regulation (GDPR), and Greek Law 2251/1994 on consumer protection.
Acceptance of terms
By completing the registration process, clicking "I agree", making a payment, or using any WGG service, you expressly acknowledge that:
You have read and understood these Terms in their entirety and agree to be legally bound by them.
You are at least 18 years of age and have the legal capacity to enter into a binding contract.
If you are registering on behalf of a company or organisation, you represent and warrant that you have authority to bind that entity to these Terms.
You understand that these Terms may be updated from time to time and that continued use of our services constitutes acceptance of any updated Terms.
If you do not agree with any provision of these Terms, you must immediately discontinue use of all WGG services and notify us at [email protected].
Services & scope of engagement
White Glove Group provides concierge, coordination, and life management services in southern Greece across the following domains: property management, elder care coordination, lifestyle concierge, legal matter coordination, government and administrative assistance, taxation coordination, and medical services coordination.
WGG acts as a coordinator and facilitator, not as a licensed legal advisor, medical practitioner, tax professional, or financial adviser. Where professional expertise is required, WGG engages and coordinates vetted third-party professionals on your behalf. All professional advice and licensed services are provided by those third parties under their own professional obligations and liability.
WGG does not guarantee specific outcomes from any service. Results depend on factors outside WGG's control including but not limited to: actions of third-party service providers, Greek government authorities, court systems, medical practitioners, and market conditions. WGG will use reasonable professional efforts to achieve the desired outcome but cannot guarantee success in any specific matter.
Services are available during WGG's standard operating hours unless a higher-tier plan specifically includes extended or emergency access. WGG reserves the right to modify, suspend, or discontinue any specific service upon 30 days' written notice, except where an emergency or circumstances beyond our control require immediate action.
WGG operates primarily in southern Greece, with a focus on the Peloponnese region including Kalamata, Messinia, Laconia, Argolis, Arcadia, Elis, and Corinthia. Services outside this area may be available at our discretion and may incur additional charges, which will be communicated to you in advance.
Membership plans & subscriptions
WGG offers three standard retainer membership plans (Essential, Residence, Full Care) and a bespoke Premier engagement. The specific services, allowances, and limits applicable to each plan are set out in the Service Packages page at whiteglovegroup.gr/pricing, which forms part of this Agreement by reference.
Your membership commences on the date your first payment is successfully processed. WGG will use reasonable efforts to begin service delivery within 2 business days of payment confirmation. Any specific requests submitted before service commencement will be queued and addressed from the start date.
You may upgrade your plan at any time, effective from your next billing cycle. Downgrades are permitted with 30 days' written notice and will take effect at the end of the current billing period. Downgrade requests do not entitle you to a refund for the current period.
Where your plan specifies a monthly or annual limit on specific services (e.g., "2 lifestyle requests per month"), unused allowances do not roll over to the following period and have no monetary value. Additional requests beyond plan limits are available at the applicable à la carte rates less your plan discount.
Payment & billing
Monthly retainer fees are charged in advance at the beginning of each billing period. Annual retainer fees are charged in full at the commencement of the annual subscription period. All fees are stated exclusive of Greek Value Added Tax (VAT) at the prevailing rate (currently 24%), which will be added to your invoice.
Third-party costs incurred on your behalf — including but not limited to notary fees, government stamps and duties, professional fees (legal, medical, accounting), translation costs, and contractor fees — are not included in your retainer fee unless explicitly stated. Such costs are invoiced separately and passed through at cost with no markup. You will be notified in advance of any anticipated third-party expenditure exceeding €100 and your approval will be sought before the cost is incurred, except in genuine emergencies.
You agree to maintain a valid payment method on file and to pay all invoices within 14 days of the invoice date. Late payments may incur interest at the statutory Greek rate. WGG reserves the right to suspend services if payment is not received within 14 days of the due date, without prejudice to any right to recover amounts owed.
WGG reserves the right to adjust retainer prices with a minimum of 60 days' written notice. You may terminate your membership without penalty if you do not accept a price increase, provided you notify us in writing within 30 days of receiving notice of the price change. Silence will be deemed acceptance.
Payment policy & no-refund clause
All payments made to White Glove Group are non-refundable. This applies to all retainer fees, à la carte service fees, and any other charges paid to WGG, whether in full or in part, regardless of the circumstances of termination or cancellation.
Specifically, and without limitation:
- If WGG terminates your membership for any reason, including for breach of these Terms, no refund of any prepaid fees will be issued.
- If you choose to cancel your membership at any time, no refund will be provided for the current billing period or any remaining portion of a prepaid annual subscription.
- If services are unused during a billing period — whether by choice or due to circumstances on your part — no refund or credit will be issued for unused services.
- If you downgrade your plan, no refund of the difference in plan price will be issued for the current period.
- Annual subscription fees paid in full are not refundable on a pro-rata or partial basis, except as required by mandatory EU consumer law in the event of a WGG material breach.
Sole exception: In the event that WGG permanently and entirely ceases operations, a pro-rata refund of unused prepaid retainer fees may be issued at WGG's sole discretion, less any amounts owed by you to WGG.
Under EU Directive 2011/83/EU on consumer rights, as transposed into Greek law, consumers have a 14-day right of withdrawal from a distance contract. However, this right of withdrawal does not apply where:
- Services have already been commenced or fully performed with your prior express consent and acknowledgement that you will lose the right of withdrawal upon full performance; or
- You have expressly requested that services begin immediately and have been informed that the right of withdrawal will be lost upon commencement.
By accepting these Terms and requesting service commencement, you expressly consent to the immediate commencement of services and acknowledge that you will lose your 14-day right of withdrawal once services have commenced. If you do not wish to waive this right, you must not request service commencement within the 14-day cooling-off period.
Initiating an unjustified chargeback or payment dispute with your bank or card provider in connection with fees legitimately charged by WGG is a material breach of these Terms. WGG reserves the right to immediately terminate your account, pursue recovery of all amounts owed, and report the matter to appropriate authorities in the event of fraudulent chargebacks.
Acceptable use of services
WGG's services are provided exclusively for lawful personal and household purposes consistent with the nature of a premium concierge service. You agree to use our services only in good faith and in accordance with these Terms.
Acceptable use includes:
- Submitting genuine, good-faith requests for services within the scope of your plan;
- Providing accurate, complete, and truthful information when registering and making requests;
- Communicating respectfully with WGG staff and affiliated service providers at all times;
- Giving reasonable advance notice for requests where possible to enable proper service delivery;
- Providing timely responses and approvals when requested by WGG to progress a matter on your behalf.
Prohibited conduct & abuse of services
The following conduct is strictly prohibited and constitutes grounds for immediate termination of your membership without refund:
- Submitting excessive, unreasonable, or bad-faith requests that are designed to exploit plan allowances beyond their intended scope;
- Submitting duplicate, repetitive, or frivolous requests with the intent to consume staff time disproportionate to your plan;
- Requesting services outside the geographic scope of your plan without prior agreement;
- Using WGG's services for commercial purposes (e.g., reselling WGG's services to third parties) without express written authorisation;
- Sharing your membership access, login credentials, or plan benefits with individuals who are not registered members;
- Making requests that require WGG to act unlawfully or contrary to applicable Greek or EU law.
- Threatening, harassing, abusing, or intimidating WGG staff, representatives, or affiliated service providers, whether in person, by telephone, email, messaging platform, or any other means;
- Using offensive, discriminatory, or inappropriate language in communications with WGG;
- Providing false, misleading, or fraudulent information to WGG or to third parties on WGG's behalf;
- Attempting to deceive, manipulate, or coerce WGG staff into acting outside their authority or contrary to these Terms;
- Acting in a manner that brings WGG into disrepute or damages its relationships with third-party providers.
- Attempting to gain unauthorised access to other members' accounts, documents, or data;
- Uploading malicious files, viruses, or harmful content to the WGG platform;
- Using the WGG platform to distribute spam, unsolicited communications, or fraudulent content;
- Attempting to reverse-engineer, copy, or reproduce any part of the WGG platform or its content.
WGG's zero-tolerance policy: White Glove Group operates on the basis of mutual respect and good faith. Any member found to be abusing services, acting dishonestly, or treating our staff or partners with disrespect will have their membership terminated immediately and without compensation. We protect our team's right to work in a safe and respectful environment without exception.
Termination by White Glove Group
White Glove Group reserves the absolute right to terminate your membership and access to services at any time, with or without cause, subject to the notice provisions set out below. Termination by WGG does not entitle you to any refund of fees paid, except as expressly provided in this Agreement.
Immediate termination (no notice required) in the event of:
- Any act of prohibited conduct as defined in Section 8;
- Provision of false or fraudulent information to WGG;
- Non-payment of fees overdue by more than 30 days;
- Any criminal act or conduct contrary to Greek law;
- Any threat, harassment, or abusive behaviour toward WGG staff or partners.
Termination with 30 days' notice in all other circumstances, including:
- WGG's commercial decision to cease serving a particular geographic area;
- Changes in WGG's service offering that make the current plan no longer viable;
- Any other reason at WGG's discretion.
In all cases of termination by WGG: No refund of any prepaid fees will be issued, except where termination is due solely to WGG's business decision (not related to your conduct), in which case a pro-rata refund of the unused portion of any prepaid annual fee may be issued at WGG's discretion.
Upon termination, your access to the WGG platform will be deactivated. Any pending service requests will be concluded at WGG's discretion. Any documents stored in your portal will remain accessible for a period of 30 days post-termination, after which they may be deleted. WGG has no obligation to retain your data beyond the period required by applicable law.
Termination by the member
You may cancel your membership at any time by providing written notice to WGG at [email protected].
Cancellation takes effect at the end of the current billing period (monthly plans) or at the end of the current annual subscription period (annual plans). You will continue to have access to services until the end of the period for which fees have been paid.
No refund will be issued for the remaining portion of any current billing period or for any unused annual subscription fees, regardless of when in the billing cycle the cancellation is requested. This applies to all plan types and all payment methods.
Limitation of liability
To the fullest extent permitted by applicable Greek and EU law, White Glove Group's total aggregate liability to you in connection with these Terms or the provision of services shall not exceed the total fees paid by you to WGG in the 3 months immediately preceding the event giving rise to the claim.
WGG shall not be liable for:
- Any indirect, consequential, special, or punitive damages;
- Loss of profits, loss of opportunity, or loss of anticipated savings;
- The acts, omissions, negligence, or professional errors of third-party service providers (lawyers, doctors, accountants, contractors) engaged on your behalf;
- Delays or failures caused by Greek government authorities, courts, or regulatory bodies;
- Force majeure events including but not limited to natural disasters, strikes, pandemics, or government action;
- Any loss or damage arising from your failure to provide accurate information or timely approvals;
- Any decision made by a third-party professional based on information you provided.
Nothing in these Terms limits or excludes WGG's liability for death or personal injury caused by WGG's gross negligence, or for fraud or fraudulent misrepresentation, or to the extent that such limitation or exclusion is not permitted by mandatory applicable law.
Third-party services & providers
WGG coordinates services through a network of vetted third-party professionals. While WGG takes reasonable care in the selection and monitoring of its service provider network, WGG does not employ these individuals and is not responsible for their professional conduct, advice, or outputs.
Third-party professionals (lawyers, doctors, accountants, contractors, carers) operate under their own professional licences, codes of conduct, and liability. Any dispute regarding the quality or outcome of services delivered by a third-party professional must be raised directly with that professional and/or their relevant regulatory body.
WGG will use reasonable efforts to assist you in resolving disputes with third-party providers, but cannot guarantee any particular outcome and is not party to your agreement with those providers.
Confidentiality
WGG understands that our members share sensitive personal, financial, legal, and medical information. We treat all such information with strict confidentiality. WGG staff, representatives, and affiliated providers are bound by confidentiality obligations. WGG will not disclose your information to any third party except:
- To vetted service providers to the extent necessary to deliver services on your behalf;
- As required by Greek or EU law, court order, or regulatory authority;
- With your express written consent;
- As described in our Privacy Policy.
You agree to keep confidential any proprietary information, processes, provider details, or business information of WGG that you become aware of in connection with your membership.
Intellectual property
All content, materials, designs, software, processes, and intellectual property on the WGG website and platform are the exclusive property of White Glove Group or its licensors. You may not copy, reproduce, distribute, modify, or create derivative works from any WGG content without our express written permission.
Documents and reports prepared by WGG or on WGG's behalf specifically for you remain your property. WGG retains the right to use anonymised, non-identifying service data for internal quality improvement purposes.
Data protection & privacy
WGG processes your personal data in accordance with the General Data Protection Regulation (GDPR), Greek Law 4624/2019, and our Privacy Policy (available at whiteglovegroup.gr/privacy). By accepting these Terms, you acknowledge that you have reviewed our Privacy Policy.
We collect and process personal data that is necessary to provide our services and operate our business. This includes identity data, contact details, property information, health information (where relevant to elder care or medical services), financial information, and communications. We will never sell your personal data to third parties.
You have the right to access, rectify, erase, and port your personal data. To exercise these rights, contact [email protected].
Complaints & dispute resolution
If you are dissatisfied with any aspect of WGG's service, you should first contact us in writing at [email protected], clearly describing the nature of your complaint. WGG will acknowledge your complaint within 2 business days and aim to resolve it within 14 business days.
This Agreement is governed by the laws of the Hellenic Republic. Any dispute arising out of or in connection with this Agreement that cannot be resolved amicably shall be subject to the exclusive jurisdiction of the competent courts of Kalamata, Greece, unless mandatory EU consumer protection law provides otherwise.
Consumers residing in the EU may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/odr.
Amendments to these terms
WGG reserves the right to amend these Terms at any time. Material changes will be communicated to you by email with a minimum of 30 days' notice before taking effect. Non-material changes (such as corrections, clarifications, or formatting updates) may be made without notice.
As required by Greek law (Law 2251/1994), having Terms of Use in the Greek language on a Greek website is a legal obligation. A Greek-language version of these Terms is available at whiteglovegroup.gr/terms-gr. In the event of any conflict between the English and Greek versions, the Greek version shall prevail.
Your continued use of WGG services after the effective date of any amendment constitutes your acceptance of the revised Terms. If you do not accept the amended Terms, you may terminate your membership in accordance with Section 10.
General provisions
These Terms, together with the Service Packages page, Privacy Policy, and any specific written engagement letter, constitute the entire agreement between you and WGG and supersede all prior representations, discussions, and agreements.
If any provision of these Terms is found to be unlawful, void, or unenforceable, that provision shall be severed from the Agreement, which shall otherwise remain in full force and effect.
WGG's failure to enforce any right under these Terms on any occasion does not constitute a waiver of that right and does not prevent WGG from enforcing that right in the future.
You may not transfer or assign your rights or obligations under these Terms to any third party without WGG's prior written consent. WGG may assign its rights and obligations, for example in the event of a business transfer, provided that your rights are not materially diminished.
WGG shall not be in breach of these Terms or liable for any failure or delay in performance arising from causes beyond its reasonable control, including acts of God, war, pandemic, government action, infrastructure failure, or industrial action. WGG will use reasonable efforts to resume normal service as soon as practicable.
These Terms are drafted in English. Where required by applicable Greek law, a Greek translation will also be made available. Communications with WGG may be conducted in English or Greek.
